ABSTRACT SUBMISSION AND REVIEW POLICY

(Please read!)


The 101st ARS Annual Meeting abstract/poster session is a forum for presenting clinical, translational, and basic research. Topics include:

    • Biology
    • Breast Cancer
    • CNS Tumors & Functional Disorders
    • Gastrointestinal Cancer
    • Genitourinary Cancer
    • Gynecological Cancer
    • Head and Neck Cancer/ Skin Cancer
    • Lung Cancer
    • Lymphoma
    • Metastases
    • Pediatric Cancer/ Sarcoma
    • Physics/Imaging
    • Toxicity/Quality of Life/Outcomes
    • Miscellaneous Cancer Topics

Abstract presenters may select from “oral or poster” or “poster only” for presentation. They are encouraged to submit presentations for both options. All abstracts will be reviewed and scored; invitations will be sent for either oral presentation or poster presentation.

There are two award categories for meeting attendees: Young Oncologist Essay Awards and Travel Awards. These are designed for trainees; while an abstract for presentation is required, additional supporting documentation is needed for these awards see section on Young Oncologist Essay Awards and Travel Grants).

Accepted abstracts will be published in the online version of The Red Journal.


Submission Deadline

Abstracts for the 2019 ARS Annual Meeting must be submitted electronically by Monday, November 26, 2018 by 11:59 PM EDT.

  • Only online abstract submissions with complete information will be considered.
  • The corresponding (i.e. submitting) author should provide his/her complete contact information, including a current email address, as all communication will be handled via email.

Please comply with the required formatting instructions and proofread your abstract carefully to avoid errors before submission. After the October 19 deadline, abstracts may not be revised or resubmitted. If accepted, your abstract will be published as submitted.

ARS Abstract Acceptance Policy

  • Abstracts should describe original work.
  • Abstracts previously presented in a national or international forum may not be submitted to ARS without modification. Data must be updated or expanded, resulting in a new abstract. Data may not be published before presentation at the 2019 ARS Annual Meeting.
  • ARS expects that the abstract’s primary author will present new data at the meeting if the abstract is accepted for inclusion in the program. ARS reserves the right to withdraw the abstract if it is published elsewhere prior to the Meeting. The primary author retains the abstract’s copyright; anyone wishing to use the abstract after the Meeting will be instructed to contact the primary author for permission.
  • Abstracts containing non-generic drug names or personal patient information, or reporting studies with unidentified chemical compounds, drugs, or materials, will not be accepted.
  •  Presenting authors must agree to give ARS unrestricted, irrevocable permission to publish and/or post the abstract in print material, in any online journals partnering with ARS, on the conference website, and as a searchable PDF file accessible to the public on the ARS website.

 

Abstract Review and Selection Process

All abstracts will undergo a blind peer review. The ARS Scientific Review Committee will evaluate abstracts on the basis of scientific content, applicability to conference topics and session themes, novelty, writing quality, and overall scientific merit.

Abstract Formatting and Content Guidelines

  • Language: English
  • Authors: FULL NAME - last name, first name; affiliations, degrees and contact information (Note: only the first 6 authors will appear, over 6 will be et al)
  • Maximum of 3000 characters, including spaces (not including the title, authors, or affiliations)
  • References must be included as parenthetical in-text citations – first author, et al, journal and year – (Cruz D, et al. Blood 2012)
  • Full contact information of corresponding author (Please ensure that your email address is accurate, as all correspondence will be sent via email)
  • Abstract text should preferably be in a “structured abstract” form with sections marked Background, Objectives, Methods, Results, and Conclusions
  • Abstracts containing non-generic drug names or personal patient information, or reporting studies with unidentified chemical compounds, drugs, or materials, will not be accepted.

 

Poster Presentations

Accepted abstracts will be presented as posters during the Poster Walk on Saturday, April 6, 2019 from 5:00 PM to 7:00 PM.

  • Posters will be available for general viewing on Saturday, April 6, 2019 through Tuesday April 9, 2019. Location will be announced at a later date.
  • Poster instructions will be sent to presenting authors in January 2019.

 

Oral Abstract Presentations

  • Accepted abstracts will be placed in 1 of 9 scientific sessions for presentation between Saturday, April 6 through Tuesday, April 9, 2019.
  • Abstracts selected for the Young Oncologist Awards will be presented during a separate scientific session.
  • Each presenter will be introduced by the moderator and will be given approximately 7-10 minutes, based on the total number of abstracts. This information will be finalized in January 2019.
  • Oral abstract presentation instructions will be sent to the presenting author in January 2019.


ARS Young Oncologist Essay Awards and Travel Grants

Applications for the Young Oncologist Essay Award and the Travel Grant Award are accepted as part of the abstract submission process. Only submissions whose first authors are young investigators are eligible for both Young Oncologist Essay Awards and Travel Grants

 

  • "Young Investigators” are defined as fellows/trainees or junior attending/faculty, 1 year post-residency.
  • Only abstracts that contain new data or other new scientific content are eligible for award funding. Examples: laboratory or clinical research study with new data, or a series of cases which taken together, allow one to conclude something new about a disease or disease process.
  • Up to five (5) Young Oncologist Essay Awards and ten (10) Travel Grants will be awarded


Young Oncologist Essay Award: Trainees who submit a completed manuscript, dealing with subjects related to clinical, translational or basic research are eligible for the Young Oncologist's Essay Award.

Application includes a complete manuscript, dealing with subjects related to clinical, translational or basic research, and letters of support from the Chair or Residency Program Director, and a Personal Statement.

The first author will receive the following:

  • Complimentary meeting registration
  • $500 honorarium
  • Up to $1,500 toward travel and lodging costs


Travel Grants:
Application includes the submitted abstract, a letter of support from the Chair or Residency Program Director, and a Personal Statement.

Notification

Notification of abstract acceptance and travel awards will be made and additional directions will be sent to the authors of all accepted abstracts in January 2019. Abstract presenters will be required to accept their invitation within 2 weeks of notification.

Responsibilities of Abstract Presenters

Please note that the presenting author of an accepted abstract must register for the conference. Presenters are responsible for all expenses related to participating in the conference, including registration fees, transportation, lodging, and meals. Young Oncologist Essay Award and Travel Award Winners will be given complimentary meeting registration and travel benefits as noted above.
